Summary Position is located in the Home and Community Based Care (H&CBC) service area of the Geriatrics and Extended Care (GEC) Service Line. Incumbent is assigned to the following Programs: Home Based Primary Care Program (HBPC), Medical Foster Home (MFR) and Community Nursing Home (CNH). Incumbent provides administrative and secretarial support to the HBPC Manager, Coordinators, and team members. Duties are typical, though not all-inclusive at)d may be performed on a daily basis. Responsibilities Major duties and responsibilities include: Data Collection & Tracking Support performs work involving the collection, compilation, and/or tracking of data and statistical information in support of the organization's program operation. Compiles data for statistical reports and cost accounting. Develops reports using Excel, PowerPoint and Software Computer Packages to create and compile weekly, monthly, quarterly and annual reports. Research/Program Resources Services and Support On daily basis, performs work related to acquisition and development of program information and resource materials/personnel to support the policy development and technical activities of the organization. Performs internet and library research functions, including file or database searches. Responsible for the routine clerical, typing, copying and electronic record maintenance for the programs, to include include letters, memoranda, policies, procedures and other correspondence. Serves as the initial contact/receptionist for customers by phone or in person and has the ability to triage all calls for urgency and/or assimilate all information necessary for H&CBC staff to respond to telephone calls, and refer to proper source. Maintains monthly calendar for the HBPC Program Manger as needed to assist with care coordination. Maintains scheduled appointments for H&CBC Program staff and other facility staff, which may include setting up meetings, conferences, room reservations, assembling files, information prior to meetings. Maintains all records pertaining to the H&CBC program. Serves as the timekeeper, and maintains daily time & attendance for GEC HBPC staff. Serves as the H&CBC Education Coordinator and records annual education competencies and training in the VA computerized learning system. Perform other related duties as assigned. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below: Specialized Experience: Applicants must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Specialized experience includes: collecting, compiling and tracking data; communicating effectively both orally and in writing; providing clerical and administrative support; coordinating meetings and scheduling conferences; establishing priorities and setting deadlines; preparing, executing, and/or tracking congressional inquires, grants, cooperative agreements, and contracts; providing general office supply and equipment support services; preparing and completing a variety of reports. Preferred: Proficient using Microsoft Office You will be rated on the following Competencies for this position: Administration and Management Flexibility Information Management Writing Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is basically sedentary in a nature but may be subject to stressful situations. The position does require some bending, standing, and carrying of supplies within the medical center complex. No special physical demands are required to perform the work. Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
