Job Title: Administrative Assistant
Job Description
We are seeking an Administrative Assistant for our office. The role involves assembling client/project contracts, amendments, and bid documents. You will also provide office support functions such as answering phones, preparing memos and correspondence, preparing mailings, maintaining office equipment and supply orders, scheduling, creating presentations/spreadsheets/documents, and other general clerical duties as assigned. Additional tasks include corporate administrative support, preparation of project contract/specification documents, copywriting, proofreading, and database management as needed. You will sit at the front desk and perform typical front office duties like answering phones and greeting visitors. In addition, you will assist in contract preparations, update spreadsheets, assist with bids from contractors, file documents into an online database, help prepare reports, copy and send out technical documents, and handle various other project-related administrative tasks. You will also serve as the office manager, keeping track of supplies, handling work orders with the property management company, coordinating and scheduling office events, and being the go-to person for administrative support. The job requires assisting and supporting technical staff including engineers, inspectors, and CAD techs.
Hard Skills
Previous experience working in a technical industry (construction, engineering, environmental, legal)
Experience reviewing contracts or putting together contract documents
Proficiency in Microsoft Office, particularly Word for editing and formatting documents
Soft Skills
Pleasant personality
Dependable and reliable team player
Ability to wear multiple hats (receptionist, admin, clerical, data entry, ordering supplies)
Strong written and verbal communication skills
Ability to work in a professional environment
Work Site
This is a fully on-site position in Evansville, Indiana.
