Administrative and Special Events Coordinator


Clark Retirement Community is seeking a highly organized and detail-oriented individual for the position of Administrative and Special Events Coordinator. As the Administrative and Special Events Coordinator, you will play a vital role in supporting the administrative functions of our community while also coordinating and executing various special events.


Responsibilities:


  • Provide administrative support to the management team, including scheduling appointments, managing calendars, and coordinating meetings
  • Assist with the preparation of reports, presentations, and other documents as required
  • Maintain and update resident records and files
  • Manage and prioritize incoming communications, including phone calls, emails, and mail
  • Coordinate and plan special events, including fundraisers, community outreach programs, and social gatherings
  • Collaborate with internal departments to ensure successful execution of events
  • Handle logistics, such as venue selection, catering, and audiovisual setup
  • Create and distribute promotional materials for events
  • Manage event budgets and track expenses
  • Coordinate with vendors and suppliers to ensure timely delivery of goods and services
  • Assist in the recruitment and training of event volunteers
  • Ensure compliance with all relevant regulations and policies

Requirements:


  • Previous experience in an administrative or event coordination role
  • Exceptional organizational and time management skills
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite and other relevant software
  • Ability to multitask and prioritize tasks effectively
  • Customer service-oriented mindset
  • Ability to work independently and as part of a team
  • Flexibility to work evenings and weekends as required for events
