Administrative and Special Events Coordinator
Clark Retirement Community is seeking a highly organized and detail-oriented individual for the position of Administrative and Special Events Coordinator. As the Administrative and Special Events Coordinator, you will play a vital role in supporting the administrative functions of our community while also coordinating and executing various special events.
Responsibilities:
- Provide administrative support to the management team, including scheduling appointments, managing calendars, and coordinating meetings
- Assist with the preparation of reports, presentations, and other documents as required
- Maintain and update resident records and files
- Manage and prioritize incoming communications, including phone calls, emails, and mail
- Coordinate and plan special events, including fundraisers, community outreach programs, and social gatherings
- Collaborate with internal departments to ensure successful execution of events
- Handle logistics, such as venue selection, catering, and audiovisual setup
- Create and distribute promotional materials for events
- Manage event budgets and track expenses
- Coordinate with vendors and suppliers to ensure timely delivery of goods and services
- Assist in the recruitment and training of event volunteers
- Ensure compliance with all relevant regulations and policies
Requirements:
- Previous experience in an administrative or event coordination role
- Exceptional organizational and time management skills
- Strong attention to detail
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite and other relevant software
- Ability to multitask and prioritize tasks effectively
- Customer service-oriented mindset
- Ability to work independently and as part of a team
- Flexibility to work evenings and weekends as required for events
