We’re searching for a
Supervisor, Ambulatory Patient Scheduling
to supervise the day-to-day operations and work flow of the centralized scheduling center department. Ensure accurate, timely and proactive scheduling, preregistration, verification of insurance eligibility and as well as excellent customer service. Works with the Lead PAS and Lead RN from each office to ensure a team based approach to care. Manage staff coverage and all call distribution (ACD) system to provide expected service level.
Essential Functions
Supervise and maintain the processes related to scheduling, preregistration, verification of insurance and to include appropriate coverage and management of the ACD phone system.
Identify potential and existing issues and make the necessary process improvements
Evaluate services with the department to include creation and maintenance of measurement tools to monitor team and individual performance to achieve efficient and effective management resources
Work with Access and Scheduling trainers to facilitate orientation and initial training of new employees as well as ongoing training as needed.
Work directly with other Children’s Physicians departments and customers to work through service issues regarding scheduling. Address escalated concerns as needed
Participate in initiatives to expand services provided by this department
Develop and implement policies, procedures and workflows for the department
Work in conjunction with other departments to meet the needs of patients, families, referral sources, internal customers and company initiatives.
Maintain a working knowledge of third-party payor contracts and federal and state medical coverage programs.
Keep co-workers and staff informed about payor changes, etc.
Work side by side with the centralized scheduling staff performing all of the same job functions
Attends Lead PAS & All Lead Meetings as directed, and works to promote teamwork within and among all CP Locations. Functions as a team with the manager.
Prepares and distributes staff meeting minutes in collaboration with the manager and agendas as directed.
Addresses office maintenance needs
Accurately maintains and prepares timecards as directed by manager within established timeframe.
Performs a variety of supervisory functions including: training, coaching, interviewing, and discipline.
Personnel Management
Prioritizes and coordinates daily work activities. Provides leadership and guidance by sharing expertise with others. Approves schedules and monitors time worked.
Responsible for managing department coverage as needed
Trains and/or oversees the training of employees on job related tasks
Conducts employee performance management duties including completion and delivery of performance evaluations, setting goals, dissemination of information, coaching, addressing performance issues/routine correction actions, and recommending termination of employment
Submits notifications for personnel actions (e.g., status changes, terminations).
Participates in selection, hiring, and salary recommendations
Operational/Financial Management
Ensures cost effective use of resources by identifying and implementing changes related to staff allocation and assignment, and department supplies
Ensures compliance with quality assurance, safety practices, policies and recordkeeping standards
May assist with the development and maintenance of policies and procedures
May participate in the implementation of business plans for the area
May assist with annual budget by tracking expenses and providing input for future budget needs.
Work with IT staff on system and phone issues to maximize the use of automation
Act as the primary contact
Provide ad-hoc reporting as requested
Participate in implementations, upgrades and enhancements as required
KNOWLEDGE, SKILLS AND ABILITIES
Excellent verbal and written communication skills.
Basic knowledge of Microsoft Office.
Knowledge of medical terminology.
EDUCATION AND EXPERIENCE
Associate’s Degree from accredited college or university required. Bachelor’s degree from an accredited college or university in healthcare administration or business preferred.
Minimum 3 years’ experience in Patient Scheduling, Healthcare Registration, insurance validation, or related field required.
Previous supervisory or lead experience preferred.
