How do I set when guests can cancel or reschedule their own sauna booking?

Guests can cancel or reschedule through self-service when your org’s cancellation rules allow it, including a cutoff window before the sauna and cold plunge session starts.

Guests can cancel or reschedule through self-service when your org’s cancellation rules allow it, including a cutoff window before the sauna and cold plunge session starts. This guide is about that self-serve window — not late-cancel or no-show fees, which are a sibling desk job on the live no-show fees guide.

What Zettlor does today

Guests can cancel or reschedule on dedicated self-service pages without calling the desk. You configure the rules: cutoff windows, refund behavior, and whether a cancel returns wallet credit or refunds the payment method. That capability is live as product policy, not a guest “contact us only” default.

Your desk may not show separate cancel vs reschedule toggles with independent lock hours. Set cutoff and refund behavior in your org’s scheduling / cancellation policy block, and confirm the exact field labels with onboarding if your UI names them differently.

This page is for operators. Guest how-to steps stay on Help. Late-cancel and no-show fees stay on /guides/booking/no-show-fees.

Desk path

Align cancel and reschedule cutoffs with your org’s scheduling / cancellation policy configuration (same area as no-show charge percent on Scheduling → Configuration). Confirm whether cancel and reschedule share one lock window or have separate controls on your desk.

Staff always need a desk override path: if a guest is past the lock and the room still has seats, the desk can still move or cancel the booking from Schedule. Guests who are locked out should see a prompt to contact the venue, not a dead button with no explanation.

Do not invent a settings path beyond what is listed here. If the product does not include a control, the desk workaround is the path.

Failure mode

Operators confuse three different clocks: (1) how far ahead guests can make a new booking, (2) how late they can cancel or reschedule an existing one, and (3) when a late cancel or no-show fee applies. Mixing those produces angry members who thought “24 hours” meant the fee window when it was actually the self-serve lock — or the reverse.

A second failure: turning guest cancel off globally, then burning desk time on every weather cancel, while private buyouts still needed a stricter rule than shared drop-in. Policy should be intentional per product type when your desk supports it; otherwise document the desk exception list.

Operator example

A contrast studio sets guest self-serve cancel and reschedule to lock 12 hours before each shared sauna and cold plunge block, while private buyouts stay desk-managed. Drop-in guests move themselves when a morning opens up; the founder still handles Friday-night private hires by phone so one cancel does not empty an exclusive room without a conversation.

A sauna and cold plunge operator can copy the shape of this example without copying another brand’s private pricing or customer lists.

How to do this

  1. Decide the business rule first: how many hours before start guests may cancel, and whether reschedule is looser than cancel (common: tighter cancel lock, looser move window).
  2. Open your org’s scheduling / cancellation policy configuration and set the cutoff window that matches that rule. Confirm the labeled field on your desk with onboarding if it is not obvious.
  3. Set what a within-window cancel returns — card refund vs account credit — using the cancel-as-store-credit guide when credit is the default.
  4. Align late-cancel / no-show fee percent separately on Scheduling → Configuration so fee math does not silently redefine the self-serve window.
  5. Test as a guest: book a test sauna and cold plunge seat, open manage-booking, and confirm Cancel / Reschedule appear before the lock and become contact-desk after it.
  6. Train the desk override: staff can still move or cancel from Schedule when the guest is locked out and the room policy allows goodwill.

Is this the same as late-cancel and no-show fees?

No. Fees are what you charge when someone cancels late or is marked no-show. This page is when guests are still allowed to cancel or move themselves. See /guides/booking/no-show-fees.

Can guests cancel private buyouts themselves?

Treat private hire as higher stakes. If your policy cannot set a stricter rule on the private product, keep buyout changes desk-managed and tell hosts in the confirmation copy.

Do staff have to follow the guest lock window?

No. Desk operators bypass guest self-serve locks when they change a booking from Schedule.
