How do I issue account credit instead of a cash refund when a guest cancels?
When a guest cancels a sauna and cold plunge booking, return value as reusable account credit instead of sending cash back to the card.
When a guest cancels a sauna and cold plunge booking, return value as reusable account / wallet credit instead of sending cash back to the card — so the revenue stays in-house and the guest still has a reason to rebook. Published FAQ lists account balance credit as a cancellation option alongside full/partial refunds and no-show fees.
What Zettlor does today
FAQ on guest cancel/reschedule: operator rules include whether cancellations return credit to the guest’s wallet or refund the payment method. FAQ on cancellations and refunds: options include full refund before a cutoff, partial or no refund for late cancels, account balance credit instead of a monetary refund, and no-show policies. Self-service cancels enforce policy automatically when configured.
Partial refund without canceling the booking is a different job — see How do I issue a partial refund without cancelling the whole booking?. This page is about canceling the seat and returning value as wallet credit or a card refund.
Your cancellation policy may label the default as card refund or wallet credit. Confirm the control on your desk with onboarding — labels vary by org. If you do not see a credit-expiry field on your desk, do not assume one exists — treat credit as open-ended or manage expiry as a written house policy.
Desk path
Set the org cancellation outcome for within-window cancels: card refund vs wallet / account credit. Set this alongside your cancel cutoff — see cancel-reschedule-window. For a one-off goodwill cancel, prefer the staff cancel flow’s refund/credit choice if your desk exposes a per-booking override; otherwise issue credit via the customer credit tools used for comps (/guides/membership/comp-credits) and cancel the reservation separately — only if that is how your build works.
Do not invent a settings path beyond what is listed here. If the product does not include a control, the desk workaround is the path.
Failure mode
Staff cancel-and-refund to card out of habit on every weather cancel, then wonder why retention is flat. Or they promise “store credit” verbally without issuing wallet credit on the profile, so the guest returns to a $0 balance. Another failure: issuing credit for a membership-credit booking without restoring or adjusting session credits correctly — money credit and session credits are not the same ledger.
Operator example
House policy: cancels inside 24 hours get 100% wallet credit, not a card refund; outside 24 hours follow the self-serve refund rule. A guest cancels Friday’s shared cold plunge Tuesday night; checkout later redeems the wallet credit on a Sunday sauna and cold plunge pair. Cash never leaves Stripe for that cancel, and the guest still shows up the same week.
A sauna and cold plunge operator can copy the shape of this example without copying another brand’s private pricing or customer lists.
How to do this
- Decide the default: card refund, wallet credit, or credit only inside a late window. Write it in guest-facing policy language.
- Configure that default on the cancellation / scheduling policy controls your org exposes. Confirm labels with onboarding.
- Align the cancel self-serve window so guests who cancel inside the rules get the outcome automatically when automation is on.
- Train desk overrides: when staff cancel for the guest, pick credit vs cash intentionally — do not spam full card refunds “to be nice” if credit is the house rule.
- After a test cancel, open the customer record and confirm wallet / account credit is spendable at the next booking checkout.
- Keep gift-card balances, membership session credits, and cancel wallet credit distinct in staff training so the wrong ledger is not adjusted.
Related questions
Is this the same as a partial refund that keeps the booking?
No. Partial refund without canceling the booking is a different job — see How do I issue a partial refund without cancelling the whole booking?. This page is about canceling the seat and returning value as wallet credit or a card refund.
Can credit expire?
Only if your desk exposes an expiry on account credit. If your desk does not show an expiry field, treat credit as open-ended or track expiry in a written desk policy.
Do no-show fees still apply?
No-show / late-cancel fees are a separate policy. Credit-on-cancel does not replace marking no-shows or charging fee percent.
