How do I invite staff and control what each role can do at the desk?
Invite each teammate with their own login and assign a role so front-desk staff can run check-in and POS without full pricing and settings access.

What Zettlor does today
You can invite team members and assign role-based permissions. FAQ examples describe scoping staff to capabilities such as check-in and POS while managers keep reporting, pricing, and settings. Each person uses their own credentials.
What is not published as a definitive public matrix is a definitive public matrix of every Admin vs Staff permission checkbox listed. Zettlor role labels and exact permission sets must come from your desk UI — do not invent role names or claim a permission that is not on the invite screen.
Guest book / cancel steps stay on Help. This page is for operators hiring hosts and cover staff.
Desk path
Invite from the team / staff settings area in the operator dashboard (confirm the exact menu label in your org — often under settings or account team). Enter the teammate’s email, choose the role that matches their shift, and send the invite. They finish signup with that same email. Change or revoke access from the same team list when someone leaves.
Do not invent a settings path beyond what is listed here. If the product does not include a control, the desk workaround is the path — and sharing passwords is not an acceptable workaround.
Failure mode
One shared iPad login for every host. When someone leaves, you cannot revoke access without rotating a password that is taped under the counter. A second failure: giving every seasonal host full settings so they can “just fix pricing,” then discovering a shared-capacity seat count changed mid-rush. A third: inviting with the wrong email so Google/social signup attaches to a personal account and two people share one staff profile.
Operator example
A two-room sauna and cold plunge studio invites weekday hosts on a front-desk role that can check guests in, take walk-ins, and move a booking, while the operators keep manager access for membership products, peak pricing, and exports. When a host finishes summer, they remove that row from the team list instead of changing a shared password.
A sauna and cold plunge operator can copy the shape of this example without copying another brand’s private pricing or customer lists.
How to do this
- List the desk jobs you actually need covered: check-in, walk-in sale, refunds, schedule edits, membership changes, reporting.
- Open the team / staff invite screen in the operator dashboard and invite each person by the email they will use on shift.
- Assign the least-privilege role that still lets them finish the shift. Prefer a front-desk role over full admin for hosts.
- Have them accept the invite with that exact email and confirm they can open Schedule and check-in without seeing settings they should not touch.
- For multi-location orgs, confirm whether the invite can scope a person to one site — if the control exists on your build, use it; if not, do not invent a location ACL.
- When someone leaves, remove or disable their team row the same day. Do not leave dormant full-access invites.
Related questions
Does the FAQ “yes” mean every permission on my desk exists?
No. FAQ confirms team access and roles. Permission details are whatever your desk role picker shows. Ask onboarding before promising a host can cancel a whole session with automatic guest notifications.
Should hosts share one login on the kiosk?
No. Use individual staff logins for auditability, and use the kiosk / self check-in guide for guest-facing check-in hardware flows.
Can I change someone’s role later?
Yes — return to the team list, edit the member, and change role or remove access. Confirm they sign out and back in if permissions cache on the device.
