How do I archive a session type I'm not running without deleting its history?

Retire a seasonal or experimental sauna and cold plunge session type so it stops selling, without wiping past bookings, revenue, or attendance.

Retire a seasonal or experimental sauna and cold plunge session type so it stops selling, without wiping past bookings, revenue, or attendance. You can override individual slots and unpublish products without deleting history. Zettlor does not give you a one-click Archive on the session list today — so do not invent an Archive button. Use the desk path below to stop new sales while you keep history.

What Zettlor does today

You can close or override individual generated slots without editing the repeating template (/guides/booking/override-one-session). You can stop selling a membership product without canceling current subscribers (/guides/membership/sunset-plan). You can hide offerings behind access codes or private links when discovery — not history — is the problem.

Zettlor does not offer a single Archive → Archived section → Unarchive flow on the session list today. Until you see that control on your desk, retire a type by stopping new inventory, closing open future slots, and unpublishing the offering—without hard-delete.

Guest flows stay on Help. This page is for operators retiring a format.

Desk path

No Archive menu on the session list today. Use this practical path:

  1. Stop generating future inventory for that session type (pause or edit the repeating schedule template; do not delete historical slots that already ran).
  2. Close any remaining open future slots with per-slot override if you only need a temporary stop.
  3. If the type is a store / offering product, unpublish or sunset selling without deleting the product record so history and reporting stay attached.
  4. Prefer hide / unpublish / close over delete. Delete is how history and old links break.

Do not invent a settings path beyond what is listed here. If the product does not include a control, the desk workaround is the path.

Failure mode

Staff delete a “Tuesday infrared” template to clean the list and lose the attendance trail finance needed for last quarter — or break QR / Instagram links that still point at that event. Another failure: editing the repeating template thinking it archives the type, and accidentally changing every future shared sauna and cold plunge block still on sale.

Operator example

A studio ends a summer lakeside cold plunge series. They stop the repeating template from generating new August dates, close stray open slots on Schedule, leave past July bookings untouched for attendance export, and keep the offering record unpublished rather than deleted so September finance can still report the series.

A sauna and cold plunge operator can copy the shape of this example without copying another brand’s private pricing or customer lists.

How to do this

  1. Decide whether you are retiring the whole type or only hiding one date. One date → override-one-session. Whole type → continue here.
  2. Export or spot-check attendance / ledger for that type if you need a freeze-frame before changes (/guides/pay/export-ledger).
  3. Pause or stop the repeating schedule that generates new inventory. Leave completed past slots alone.
  4. Close remaining future open slots with per-slot controls so guests cannot book a retired format.
  5. Unpublish or otherwise stop selling the offering / product if it still appears on browse surfaces — without deleting the record.
  6. Test the guest booking page: the retired type should be gone; historical desk records and exports should still resolve.
  7. If your desk later shows Archive / Unarchive, use that reversible control and retire the workaround steps above.

Is archive the same as overriding one Saturday?

No. Override fixes one occurrence. Archive (or its workaround) retires the type so it stops being a selling format.

Will archiving refund guests?

It must not. Retiring a type should stop new bookings. Guests already on future dates need an explicit cancel / move / communication plan — see bulk-message and cancel guides.

Hard-delete tends to 404. Prefer unpublish / close so ops can still find the record, and update posters that pointed at a dead series.
