How do I message every guest on one session about a weather or time change?

Reach everyone booked on a single sauna and cold plunge block without a documented one-click roster blast. Use the roster plus email or SMS, and fix inventory so the calendar matches.

Reach everyone booked on a single sauna and cold plunge block — weather delay, start-time move, door note — without texting names from a spreadsheet. Native blast-to-one-session: not documented in Zettlor today — do not invent that button. Use the session roster plus email or SMS.

What Zettlor does today

Live desk tools that help adjacent jobs:

  • Attach an internal staff note to a booking (/guides/desk/booking-note) — for handoff, not guest SMS.
  • Send an updated waiver to guests who already have a booking (/guides/desk/updated-waiver).
  • Guest-facing automated SMS/email (confirmations, reminders) when notifications are connected (/guides/pay/confirmation-emails + FAQ).
  • Per-slot override to close or move inventory (/guides/booking/override-one-session).

What is not published is a one-click blast to everyone on one session’s roster. Until that exists on your build, the honest path is: open the session roster on Schedule, contact guests through the messaging / email actions available on each booking or customer record, or export the roster and send from your ESP — then fix inventory so the booking page matches the message.

Desk path

Native blast-to-one-session: not documented in Zettlor today. Workaround:

  1. Open Schedule → the affected session → roster.
  2. If your desk shows a message / email action on the session or on multi-select bookings, use that — only if it is actually there.
  3. Otherwise open each booking or customer and send via the available notification tools, or export emails for that slot and send one clear ESP message.
  4. Always pair the message with a Schedule change (new time, closed slot, capacity) so guests who miss the email do not book the old truth.

Do not invent a settings path beyond what is listed here. If the product does not include a control, the desk workaround is the path.

Failure mode

Staff update Instagram and a group chat, leave Schedule untouched, and only some guests see the weather delay. Others arrive on time for a room that opens an hour late. Another failure: writing a long apology thread in a staff note (internal only) and assuming guests can see it.

Operator example

Lightning delay pushes a 6:00pm shared sauna and cold plunge to 7:00pm. The desk overrides or recreates the slot to the new time, then messages everyone on the 6:00pm roster with the new start and door instructions. Guests who re-open the booking page see 7:00pm, not a stale 6:00pm confirmation fighting a Story.

A sauna and cold plunge operator can copy the shape of this example without copying another brand’s private pricing or customer lists.

How to do this

  1. Fix inventory first: move, close, or re-create the session so the calendar matches the new plan.
  2. Open the session roster and copy the guest list (or use multi-select if your desk has it).
  3. Send one short message: what changed, what to do, and the booking reference. Prefer the channel guests already get confirmations on.
  4. If no bulk action exists, send per booking or via ESP from an export — still the same one message body.
  5. Add an internal booking note only for staff (“told guests 7pm; door code unchanged”) — guests will not see that note.
  6. Spot-check one guest’s confirmation / manage-booking link so the new time is what they see when they click through.
  7. If product later ships session-roster blast, retire the export workaround and update this guide when that ships.

Can I use a staff booking note instead of messaging guests?

No. Notes are internal. Guests need SMS/email or another guest-visible channel.

Should I cancel everyone and make them rebook?

Only when the slot cannot be moved cleanly. Prefer moving the session and messaging once so seats and payments stay attached when possible.

Is this the same as automated reminders?

No. Reminders are scheduled automations. This is an ad-hoc ops blast for one session’s exception.
