Walk-In Queues, Check-In, and Front-Desk Flow for Bathhouses

How commercial saunas, cold plunge studios, and bathhouses manage walk-ins, QR self-booking, kiosk check-in, live building occupancy, and overstays at the front desk.

FigureWalk-ins and pre-booked guests draw from the same live seat count so the front desk never oversells the bench.

The calmest booking page in the world still meets Friday night at 6:00 PM: twelve pre-booked guests arriving at once, two first-timers who forgot to sign their waivers, a regular bringing a plus-one, and three walk-ins asking if you have space right now. If your front desk has to click through four screens per guest while checking a separate waiver binder and guessing who already left the locker room, the line backs up out the door before anyone gets warm.

Short answer

A sauna front desk needs one live view that combines pre-booked reservations, walk-in signups, per-guest waiver status, and live in-building occupancy. Guests who forgot their waiver finish it via QR code at the door or on a self-check-in kiosk, walk-ins book into remaining bench capacity (including after a session has already started), and staff check guests in and out to track who is on site and catch overstays.

What to get right first

Operator rule: never make a regular with a signed waiver wait in line behind a first-timer filling out paperwork.

Handling walk-ins without overselling the bench

Walk-ins are pure margin if your room has an empty seat, and a disaster if your desk guesses wrong and sells a seat that an online shopper is paying for at the same second.

In Zettlor, walk-in queues and desk bookings draw from the exact same live room capacity as your public booking page:

Waivers that clear before the locker room

A sauna or cold plunge waiver is tied to the individual guest's email and profile (is the waiver tied to their email), and operators can require both a session waiver and a separate membership agreement (requiring more than one waiver). If you update your legal language mid-year, you can send an updated waiver to guests who already hold a booking before their shift starts. At the desk, staff see immediately whether a guest has signed without opening a separate PDF folder.

Knowing who is in the building right now

For communal bathhouses and larger multi-room facilities selling longer stay windows with a chosen arrival time, knowing who booked is not enough: you need to know who is physically in the building right now from your checked-in schedule roster. Staff mark arrivals at check-in, mark no-shows on the reservation so configured no-show fee rules apply, and check guests out at departure while watching overstay warnings (ringing up an additional session or pass at the desk when someone wants extra time) so locker count and bather load stay accurate all day.

Common questions

How do I sign up a walk-in after a sauna session has already started?

Open Schedule at the desk, select the in-progress session slot, and add the walk-in guest (plus any companion seats) against the remaining room capacity. Full steps are in how to sign up a walk-in at the desk after the session has started.

How do we stop guests from seeing other customers' names on a front-desk check-in iPad?

Use Zettlor's dedicated front-desk kiosk mode, which lets arriving guests look up and check into their own reservation without exposing your full customer list or staff schedule.

How do we track bathhouse overstays and know who is still on site?

Staff check guests in on arrival and check them out when they return their towel or locker key, using who is in the building right now and check-in, check-out, and overstay charges.
